Job Summary: Managesoffice to include coordinating and arranging counseling appointments;supervising and coordinating clerical workers; and monitoring and maintainingbudget transactions for departmental accounts, purchasing and leasingagreements under supervision of the Director or designee.
PrimaryJob Duties and Responsibilities: - Answers telephone, greets visitors, and directs calls/individuals to appropriate person; makes photocopies as requested; and opens and routes mail.
- Supervises and coordinates schedules/appointments of professional staff and graduate assistants, coordinates meetings, and makes travel arrangements.
- Initiates, at the direction of the Director or designee, purchasing and leasing of equipment and materials for the Center and maintains inventory control of equipment and other materials which have been purchased.
- Monitors and maintains budget transactions for departmental account to include the purchasing and upkeep of office supplies and posting and balancing account with monthly detail budget reports from Controller's Office.
- Functions as office courier to perform activities such as picking up mail, delivering documents to offices on campus, and picking up supplies.
- Supervise student workers. Supervisory responsibilities include training, planning, assigning, and directing work as well as appraising performance under the direction of the Director and/or Assistant Director.
- Performs other duties as assigned.
Minimum Qualifications: Associate's degreefrom an accredited college or university and six months related experienceand/or training in office management, clerical duties or college campussupports; or equivalent combination of education and experience.
Preferred Qualifications: Bachelor'sdegree with prior experience and/or training in office management, clericalduties or college campus supports.
Knowledge,Skills, and Abilities (KSA): - Adeptin Microsoft Office and Microsoft technologies.
- Abilityto demonstrate sensitivity, respect, and be discreet when dealing withconfidential matters.
- Knowledgeof entry-level accounting and budgetary practices, and procedures with theability to create spreadsheets and track expenses.
- Skill in completing assignments accurately andwith attention to detail.
- Musthave excellent communication skills and the ability to be compassionate andempathetic while working with a diverse population.
- Knowledgeof, or the ability to learn, University policies and procedures.
- Excellentorganization and time management skills.
- Abilityto speak effectively before groups of customers or employees of organization.
