The Genetic Counseling Assistant performs a wide range of high level administrative and office support activities necessary to assist the genetic counseling team in providing hereditary cancer risk assessment to patients and their families. The Genetic Counseling Assistant interacts with patients, healthcare providers, insurance companies, testing laboratories and the Pedigree drawing Software Company.
Job Description: Essential Duties & Responsibilities including but not limited to:
- Maintains genetic counselor schedules on a daily/weekly/monthly basis
- Maintains Hereditary Cancer Clinic schedules on a bi-weekly basis
- Assists with Hereditary Cancer Clinic follow up appointments and documentation, including follow up on orders/referrals placed during the clinic.
- Keeps track of Hereditary Cancer Clinic monthly patient totals
- Answers a high volume of telephone calls in a professional manner and takes responsibility for appropriate follow-through. Accurately identifies those patients requiring immediate attention and schedules them as needed on an urgent basis, relaying this information to the appropriate personnel
- Utilizes Epic to record thorough and complete phone messages and patient note documentations
- Coordinates and assists in processing genetic skin biopsies including ordering and handling of specific specimen kits and sending out samples
- Coordinates blood draws and assists with packing and shipping the blood specimens, completing genetic testing requisition forms, and working with laboratories and health insurance providers for the purpose of obtaining insurance coverage for genetic testing
- Inputs family history information into Volpara Pedigree drawing software database
- Facilitates pretest video counseling clinic for selected patients
- Assists with notifying patients regarding variant reclassifications
- Facilitates collection of outside medical records and family history for patients and indexes paperwork
- Accurately identifies and selects appropriate CPT and ICD-10 codes for testing and procedures
- Transcribes a variety of documents including correspondence, memos, and department/staff meeting minutes. Proofreads all documents for accuracy and completeness
- Maintains provider correspondence, reports, and statistics using both Excel and Google Sheets
- Makes physician travel reimbursements as needed
- Processes and monitors provider time away and ensures that the information is captured in all required systems
- Screens, sorts and distributes both USPS mail and incoming Facsimile correspondence.
- Operates office equipment including (but not limited to) a personal computer, Internet, voice mail, e-mail, paging systems, copy machine, transcription equipment and fax

- Performs all other duties as needed or directed to meet the needs of the department.
Minimum Qualifications: Education: Bachelor's degree in a related field of study is preferred.

Experience:
- 1+ years of related administrative work experience preferred
- Interest in genetics is preferred
