Human Resources Payroll Analyst (Staff Assistant)

Human Resource Development

Non-Unit Professional position, 37.5 hours/week, Danvers Campus

SALARY: Anticipated salary range $55,000.00 - $65,000.00. Actual salary is commensurate with experience and education. The primary responsibility of this position is to process the payroll for the college through the state's Human Resource Compensation Management System (HR/CMS). Analyze and reconcile data entered through employee self-service time and attendance system for compliance with audit procedures and union contract requirements. Responsible for maintaining payroll records and preparing reports as needed as well as responding to employee inquiries regarding payroll issues.


* Responsible for reviewing, analyzing, and auditing biweekly payroll for faculty and staff.

* Identify discrepancies, offer solutions, and follow-through on changes to processes.

* Overseeing and ensuring accuracy when processing new hires (systems include HRCMS, Banner and Labor Cost Management).

* Reviews weekly self-service time and attendance reports to insure conformity with established reporting requirements and confers with employees and department managers to resolve discrepancies.

* Reconciles payroll reports, records, and transactions to ensure compliance with established policies and procedures.

* Monitors, reconciles and enters employee expenses and deductions into payroll system HR/CMS.

* Understand pay calculation formulas of adjunct faculty, and then monitor and track the time in accordance to state regulation and collective bargaining agreement.

* Performs internal audits of department time and attendance procedures to ensure compliance with payroll policies and procedures. Prepare reports and documents for external audit requests.

* Calculates salary adjustments related to contractual retroactive pay increases.

* Calculates and enters employee payouts for retirement, terminations and resignations.

* Provide and analyze payroll reports by running queries in HRCMS

* Researches and completes employee's contract service buyback.

* Serve as primary payroll contact in the absence of the Payroll Director

* Processes stop payments and reissues checks to the state treasurer's office.

* Respond to payroll inquires and requests by college employees

* Research and troubleshoot payroll discrepancies and resolve any payroll related issues

* Attends Commonwealth Payroll User Group Meetings and implements new systems requirements instituted by the State Comptroller's Office.

* Assists the HR/Payroll staff members with routine and special projects.

* Performs other related duties.


* Bachelor's degree in related field and three years of related experience in payroll, preferably in higher education; or an equivalent combination of education and experience.

* Proficiency with Microsoft Word, Excel and Access is required

* Understanding of wage and hour laws as well as state and federal payroll taxes.

* Prior customer service experience required.

* Experience with payroll process in an HR/Payroll system, Oracle (HR/CMS State payroll system) or similar preferred

* Knowledge of Banner (Enterprise System), LCM (State Labor Cost Management System) preferred.

* Strong organizational and interpersonal skills required.

* Detail oriented with excellent editing/proofreading skills.

* Ability to maintain high level of confidentiality

* Successful experience interacting with culturally diverse populations.

* Demonstrated ability to work as a productive team member in a multi-tasked, time-sensitive environment.

* Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.
