Job Title: Inside Sales Assistant
Job Location: Roanoke, VA
Reports To: General Manager
FLSA Status: Non-Exempt

This is a FULL-TIME position

 

Position Overview:

We are seeking a motivated and detail oriented Inside Sales Assistant to join our team. The ideal candidate will support our sales team by managing customer inquiries, processing orders, and providing exceptional customer service. This role is crucial in ensuring a smooth sales process and maintaining strong customer relationships.

 

Key Responsibilities:

Customer Support:

  • Respond to customer inquiries via phone and email.
  • Provide detailed information about HVAC products, pricing, and availability.
  • Keep customers informed of the status of warranty claims and any required actions.
  • Assist customers with product selection and technical support.
  • Maintain and update O&M’s, submittals, and other relevant documentation.

Sales Support:

  • Prepare and process sales orders, quotes, and invoices.
  • Process and manage warranty claims from initiation to resolution.
  • Track and follow up on pending orders and deliveries.
  • Coordinate with the sales team to ensure timely order fulfillment.

Product Knowledge:

  • Maintain up-to-date knowledge of HVAC products and industry trends to provide accurate information to customers.
  • Assist in the creation and updating of product documentation and sales materials.

 

Data Management:

  • Maintain accurate customer records in the CRM system.
  • Generate sales reports and analyze data to identify trends and opportunities.

 

Administrative Tasks:

  • Schedule and coordinate sales meetings.
  • Entering new projects in bid schedule and assigning responsibilities.
  • Handle routine office tasks such as filing, data entry, and managing correspondence.

 

Team Collaboration:

  • Work closely with the sales and service team to provide seamless customer service.
  • Participate in regular sales meetings and training sessions.

 

Qualifications:

Education:

  • High school diploma or equivalent; associate or bachelor’s degree in business, Sales, or a related field is a plus.
  • Previous experience in inside sales, customer service, or a related field, preferably in the HVAC industry.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM software.
  • Ability to work independently and as part of a team.
  • Attention to detail and a commitment to accuracy.
  • Basic understanding of HVAC systems and equipment is preferred but not required; training will be provided.
